A Calibration Program Is a Control System
Sending instruments out once a year is an activity. A calibration program controls whether the right instrument is identified, calibrated for the required range and tolerance, returned with usable documentation, and removed from service when its status is unknown.

Set Intervals From Risk and Evidence
NIST does not prescribe one universal recalibration interval. It points to accuracy needs, contract or regulatory requirements, instrument stability, and environmental factors. Usage, shock, overload, repair, and previous as-found data should also influence the interval.
A low-risk spare that remains stable may not need the same cycle as a field meter used daily for acceptance decisions. Reviewing out-of-tolerance history allows the program to become more defensible over time instead of treating every asset alike.
Make the Certificate Work for You
A useful certificate identifies the instrument, calibration date, method or standards used, traceability, environmental conditions where relevant, measured data, result, and recommended next date when provided. The asset ID on the certificate should match the customer’s inventory.
Traceability means an unbroken documented chain of comparisons to recognized standards, not that NIST personally calibrated every field instrument. NIST explains measurement traceability as the chain that connects a measurement back to precise standards.
- Create one owner for the equipment list.
- Quarantine instruments with missing or failed status.
- Review as-found data before adjusting intervals.
- Plan loaners or staggered batches for critical tools.
Handle Out-of-Tolerance Results Deliberately
When an instrument arrives out of tolerance, the important question is not only whether the laboratory can adjust it. The owner should evaluate where the tool was used, which measurements were close to an acceptance limit, and whether affected work needs technical review or repeat testing.
Define this response before the first failure. The process should name who receives the notice, who evaluates impact, how the instrument is quarantined, and how corrective action is recorded. A calibration program becomes much more valuable when it protects prior decisions as well as the next measurement.
